Terms & conditions

Terms & Conditions

1. Appointment Scheduling & Booking Agreement

Online booking terms

Appointments may be scheduled through our online booking system and are subject to availability. Clients are responsible for selecting the correct service, duration, and provider at the time of booking.

All appointment details, confirmations, and modification links are sent via email and/or text. It is the client’s responsibility to ensure contact information is accurate and to review all appointment details upon booking.

Appointments may be booked up to 90 days in advance.

Same-day appointment limitations

Same-day appointments are not available through online booking and must be requested directly through the spa. Same-day availability is limited and not guaranteed.

Same-day appointments are considered a convenience accommodation and may be subject to additional fees. Provider availability, scheduling constraints, and operational capacity determine whether same-day requests can be accommodated.

Agreement to policies at time of booking

By scheduling an appointment, whether online, by phone, or in person, the client acknowledges and agrees to all spa policies, including but not limited to:

  • Cancellation and rescheduling policies
  • Late arrival and no-show policies
  • Card on file authorization
  • Health and safety requirements
  • Terms related to payment, gratuity, and administrative fees

Failure to review policies does not exempt clients from responsibility. These Terms & Conditions are binding at the time an appointment is booked.

2. Cancellation, Rescheduling & No-Show Policy

Timeframes

Clients must provide a minimum of 24 hours’ notice to cancel or reschedule an appointment. This notice period applies to all services, providers, and appointment types.

Requests to cancel, reschedule, or modify an appointment, including service downgrades, made with less than 24 hours’ notice are considered late changes and are subject to applicable fees.

Clients who are unable to attend their appointment may send another guest in their place to avoid cancellation or rescheduling fees, provided the guest is able to receive the same service, duration, and price originally booked.

Fees

The following fees apply:

  • Late cancellations, rescheduling, or downgrades (less than 24 hours’ notice): 50% of the originally scheduled service price
  • No-call, no-show appointments: 100% of the scheduled service price
  • Service downgrades requested within 24 hours of the appointment time: charged at the originally booked service rate
  • Late arrival resulting in a shortened service time: does not reduce the service fee

Exceptions (weather, emergencies)

Our standard cancellation policy remains in effect during inclement weather and unforeseen circumstances. However, we understand that severe or unsafe conditions may arise.

Weather-related or emergency exceptions may be reviewed at the sole discretion of the spa and are not guaranteed. Clients are encouraged to contact the spa as soon as possible if they believe an exception may apply.

3. Late Arrival Policy

Clients are expected to arrive on time for their scheduled appointment.

If a client arrives late, the appointment may be shortened or modified in order to remain on schedule for subsequent clients. The service will still end at the originally scheduled time.

Late arrival does not entitle the client to a reduced service fee. The full service price applies regardless of shortened service time due to late arrival.

If a client arrives too late to safely or reasonably perform the scheduled service, the appointment may be considered a no-show and charged in accordance with the no-show policy.

4. Card on File Authorization

Authorization to charge card on file

A valid credit or debit card is required to be kept on file to reserve all appointments. By booking an appointment, the client authorizes the spa to charge the card on file for any applicable fees in accordance with these Terms & Conditions, including but not limited to:

  • Late cancellations
  • No-call, no-show appointments
  • Late arrival resulting in a no-show
  • Administrative or outstanding balances

The card on file is not charged at the time of booking, unless otherwise stated.

Declined payments, invoices & booking suspension

If a card on file is declined for any authorized charge, an invoice will be issued for the outstanding balance.

Failure to resolve a declined charge or unpaid invoice may result in:

  • Administrative or late fees
  • Required prepayment for future appointments
  • Temporary or permanent suspension of booking privileges

The spa reserves the right to refuse future appointments until all outstanding balances are paid in full.

Security of card information

Card information is stored securely through a PCI-compliant booking and payment system. The spa does not store or have direct access to full card numbers.

5. Payment, Pricing & Gratuity

Payment for services is due at the time of service, unless otherwise stated. Accepted forms of payment include major credit and debit cards, valid gift certificates, Apple Pay, cash, and Venmo.

Prices are subject to change at any time without prior notice. The price charged will be the rate in effect at the time the appointment is booked, unless modified by the client or provider prior to service.

Gratuities are not included in service pricing unless otherwise stated. Tips are always appreciated but never required and may be given at the client’s discretion. While not required, cash gratuities are kindly preferred, as they go directly to the service provider.

Gift certificates may be applied toward services, service add-ons, or retail products, but may not be used toward gratuities.

6. Health Disclosure & Assumption of Risk

Clients are responsible for disclosing all relevant health information prior to receiving services. This includes, but is not limited to, medical conditions, pregnancy, recent surgeries, injuries, medications, allergies, and sensitivities.

By receiving services, the client affirms that all disclosed information is accurate and complete to the best of their knowledge. Failure to disclose relevant health information may limit the spa’s ability to safely provide services and may result in modification or refusal of treatment.

Clients acknowledge and accept that spa services involve inherent risks, including but not limited to temporary discomfort, skin sensitivity, or other reactions. By receiving services, the client assumes full responsibility and risk for any outcomes related to services provided, except in cases of gross negligence.

The spa reserves the right to modify or refuse services if, in the professional judgment of the provider, the service would be unsafe or contraindicated.

7. Right of Refusal & Service Termination

The spa reserves the right to refuse or discontinue service to any client at any time, with or without notice, in order to maintain a safe, respectful, and professional environment.

Services may be refused or terminated for reasons including, but not limited to:

  • Health or safety concerns
  • Failure to disclose relevant health information
  • Inappropriate or disruptive behavior
  • Intoxication or impairment
  • Violation of spa policies or Terms & Conditions

If a service is refused or terminated due to client behavior or policy violation, the appointment will be charged in full. No refunds or credits will be issued.

The spa further reserves the right to restrict or permanently suspend booking privileges for any client who violates policies or engages in behavior deemed unsafe, inappropriate, or disrespectful.

8. Zero-Tolerance Policy for Inappropriate Conduct

The spa maintains a zero-tolerance policy for any form of inappropriate behavior, comments, gestures, or innuendo directed toward staff or other clients.

Inappropriate conduct includes, but is not limited to:

  • Sexual comments, advances, or requests
  • Inappropriate touching or gestures
  • Lewd, suggestive, or explicit language
  • Harassment, intimidation, or disrespectful behavior

Any violation of this policy will result in immediate termination of the service. The appointment will be charged in full, and the client may be permanently banned from future bookings.

If warranted, authorities will be contacted.

By booking and receiving services, clients acknowledge and agree to abide by this policy.

9. Children, Guests & Minors

For the safety, comfort, and relaxation of all clients and staff, children and additional guests are not permitted in the spa unless they are receiving a scheduled service.

Only the client receiving the service and the assigned provider are permitted in treatment rooms, except when required for a minor receiving a service.

Select services may be available for minors. All minor appointments must be scheduled in advance and require written consent from a parent or legal guardian. A parent or legal guardian must be present at check-in and may be required to remain on site for the duration of the appointment, depending on the service.

The spa reserves the right to set minimum age requirements for services and to refuse services to minors when appropriate.
